Contact Import Process Video This video provides a step-by-step guide on how to import contacts into your CRM system efficiently while ensuring data integrity and compliance.

1. Preparing Your CSV File for Import Export contacts from your current platform (e.g., MailChimp, Outlook, ActiveCampaign) in CSV format. Ensure data consistency: All information should be on one sheet. Each column must have a title row (e.g., Name, Email, Phone). Split full names into separate first and last name columns. If multiple phone numbers exist, organize them into separate columns.

2. Creating Custom Fields (If Needed) If you have extra data fields (beyond Name, Email, Phone), you need to create custom fields in CRM: Go to Settings → Custom Fields. Choose the correct field type (e.g., text, phone, date). Assign the field to a category before saving.

3. Importing Contacts into CRM Go to Contacts → Import Contacts. Upload the cleaned CSV file. Map the CSV columns to the CRM fields (e.g., First Name → First Name). Handle unmatched fields by either mapping or excluding them.

4. Finalizing the Import Name the import batch for easy tracking. Choose Add & Update (to update existing records) or New Contacts Only. Enable options like avoiding empty field overwrites. Optionally, add tags to categorize contacts. Assign contacts directly to workflows (e.g., nurturing sequences). Consent Confirmation: Ensure all imported contacts have explicit opt-in consent to avoid legal penalties.

5. Managing Imported Contacts Imported contacts appear in a Smart List, allowing easy filtering and segmentation. Smart Lists can be used for marketing campaigns and quick access to specific groups of contacts.

Always verify data accuracy before importing and ensure compliance with opt-in regulations to avoid legal issues.
