Start Here: 03. Setup: Business Profile

ABOUT THIS LESSON:

Setup: Business Profile

The Business Info setup in a CRM system, covering essential fields and settings that need to be configured for a proper setup.

Key Steps in Setup:

Business Information: Enter a friendly business name (used internally for quick account identification). Provide the official LLC or corporation name (important for legal purposes). Input primary business email and phone number (optional if not yet set up). Optionally enter a branded domain name and website URL (used for direct links like calendar invites).

Business niche: (e.g., “Educational Consultant” is recommended for coaches). Enter a physical business address (used for tax and incorporation purposes).

Company time zone: (applies to the overall CRM system).

Business Type & Registration:

Choose the business type (LLC, Corporation, etc.). Select the business industry (default recommendation is “Education”). If in the U.S., enter the EIN number (important for email and phone registration).

Authorized Representative: Enter the primary business owner's details to ensure correct contact for CRM-related matters.

General Settings:

✅ Duplicate Opportunities: Enable this to allow multiple opportunities for the same contact in pipelines.

✅ Facebook Contact Merging: Recommended to be turned off to prevent incorrect contact merges.

✅ Bot Activity Filtering: Enable to exclude bot-generated email opens from statistics.

✅ Hard Bounce Email Handling: Enable to mark invalid email addresses automatically.

✅ Phone Number Validation: Recommended but optional due to a small cost per validation. Call & Voicemail Settings: If using CRM phone services, upload an MP3 voicemail message for unanswered calls. Set a call timeout duration (default is 60 seconds; adjustable from 10-20 seconds).

Configure missed call text back to send automated SMS responses for unanswered calls.

Contact Deduplication: Keep duplication off to prevent multiple entries of the same contact. Default settings: Phone number as primary check, Email as secondary check for duplicates.

Final Steps: Save changes after each section. Some settings, like phone and text features, apply only if those CRM services are activated. Future videos will cover advanced settings in more detail. This video ensures that businesses properly configure their CRM foundation, streamlining operations and avoiding setup errors.
